Module 2: Entry and document control

Prepare an e-Visa-quality evidence file

Organize names, purpose, dates, finances, accommodation, and supporting records so contradictions are visible before submission.

What to know first

What to know first

Start from the live official checklist for your route. Use one master timeline and one spelling of every name and address, label every file, explain genuine inconsistencies, and keep your own copy of everything submitted.

The checklist is route-specific

Do not copy a document list from a different visa, nationality, mission, or year. Open the official application flow for the route and place each requested item in a workspace. Mark requirements as confirmed, unavailable, or needing clarification rather than silently substituting a convenient document.

Create a master facts sheet containing passport name, prior names if relevant, dates, addresses, employer or activity description, travel history, planned accommodation, and contact details. Compare every form and attachment against it before submission.

Make the story internally consistent

Evidence does not need to look perfect; it needs to be genuine and explainable. Different transliterations, an old address, variable income, or a revised itinerary may be legitimate. Flag the mismatch and provide the explanation or supporting record requested by the authority.

A booking made only to decorate an application can create new risk. Use cancellable arrangements when uncertainty remains and never upload altered statements, invented reservations, false employment records, or a purpose that does not match the planned activity.

  • One master facts sheet
  • Files named by requirement
  • Dates in chronological order
  • Genuine inconsistencies explained

Control the account and originals

Use an email address and account you control. Keep the submission receipt, payment record, correspondence, decision, and final visa confirmation. If a provider assists, know what it can see, which account it uses, and how access is removed afterwards.

Do not hand over a passport or original record without a documented need, named custodian, receipt, return date, and recovery plan. An adviser’s convenience is not enough reason to lose control of the only document you can travel on.

Audit the application workspace

Do not upload anything during this exercise. Build and inspect the file first.

  1. 1Create folders for requirements, submission, correspondence, and decision.
  2. 2Write the master facts sheet and compare every document to it.
  3. 3Mark mismatches and missing evidence without inventing replacements.
  4. 4Record account ownership, document custody, and return controls.

Output: A route-specific evidence file ready for final official review.
