Treat handover as the first exit step
Record meter readings, keys, cards, remotes, furniture, appliances, walls, floors, bathroom, kitchen, windows, and existing damage before normal use. Use clear wide and detail images. Send or sign the record through a channel that proves the other party received it.
Confirm how electricity, water, internet, building fees, and repairs are billed. If the landlord or building charges an internal rate, record the unit and calculation rather than only the first total.
Keep a maintenance ledger
Report problems promptly with date, description, evidence, access availability, and urgency. Distinguish safety or active damage from comfort issues. Keep the resolution, contractor visit, cost approval, and any effect on rent or deposit in the same thread.
Do not authorize an expensive repair or deduct it from rent without understanding the contract and obtaining written agreement or qualified advice. Good documentation cannot repair a weak legal position, but it can prevent the facts from disappearing.

Work backwards from departure
Put the notice deadline, required delivery method, viewing access, cleaning, utility closeout, internet return, inspection, key return, deposit account, and final departure on a timeline. Ask what documentation will support deductions and when the undisputed balance is returned.
At exit, repeat the condition and meter record and obtain acknowledgement of access items returned. Keep the local account or international payment route available long enough to receive a legitimate refund.

Create the structure before move-in or repair history begins.
