Track identity, address, banking, insurance, immigration, tax, vehicle, and contract obligations with evidence and owners.

What to know first

List each obligation with responsible person, authority or provider, trigger, deadline, evidence required, submission channel, current status, and next review. Store the register separately from encrypted sensitive records and never let a provider’s reminder become your only control.

Build around triggers

Administrative obligations do not all happen monthly. They can be triggered by arrival, a change of address, employment, a contract, vehicle ownership, a visa condition, travel, tax residence, school enrolment, insurance renewal, or departure. A calendar without the trigger logic will miss events that move.

For each item, record the authoritative source or adviser, applicability decision, deadline, lead time, evidence, fee, owner, and status. Mark ‘not applicable—checked on date’ rather than deleting a question that may return when circumstances change.

Separate index from evidence

The register should point to protected records rather than contain full passport numbers, bank details, passwords, and medical information. Use clear file names and version dates. Keep submitted, accepted, rejected, superseded, and expired evidence distinct.

Where a landlord, employer, school, agent, accountant, or family member performs a task, remain able to see completion evidence. ‘They handle it’ is not a status until the required result is visible.

Review after every life change

Run the register when you move, change job or client, start or end a lease, add a family member, buy or sell a vehicle, change insurance, open or close an account, travel internationally, or approach a major day threshold.

Do not copy deadlines from another foreign resident’s spreadsheet. Build the structure yourself and populate applicability from current official information or qualified advice for your facts.
