Write the move brief first
State the origin, destination, target dates, household size, accessibility needs, pets, school or housing search needs, shipment outline, and any employer requirements. Mark unknowns instead of inviting providers to make silent assumptions.
Ask each provider to return the brief with assumptions and exclusions annotated. This creates a shared baseline and reduces surprise add-ons.
Map every handoff
Relocation companies often coordinate landlords, movers, translators, drivers, schools, insurers, and immigration specialists. Ask which work is performed in-house, which is referred, and who remains responsible when a subcontractor fails to deliver.
- Named deliverable and completion test
- Responsible person or supplier
- Included hours, visits, or property viewings
- Third-party and pass-through charges
- Change, cancellation, and refund terms
- Secure channel for passports and family records
Compare outcomes, not brochure length
One proposal may include many calls but no lease review; another may include a short property shortlist and structured handover. Weight the tasks that remove your biggest risks. Record unanswered questions as gaps rather than assuming they are included.
Keep immigration, tax, medical, and legal advice within the provider's actual qualifications. Coordination experience is useful, but it is not the same as professional authorization.
Save before deciding

Common questions
- Is a fixed-price relocation package safer?
- It can improve cost predictability only if the scope, limits, exclusions, third-party charges, and change process are written clearly.
- Should I send passport scans with the first enquiry?
- Ask why each document is needed and verify the recipient and secure channel first. A provider can usually explain its service before collecting a full identity file.
- How many quotes should I compare?
- Enough to understand the market and expose scope differences. Two or three well-structured proposals are usually more useful than many vague prices.
